How to connect your website form to a CRM without losing leads
A lead form is only useful if the enquiry lands in the right place, with an owner, within minutes. Here is the setup we would use for a small team.

Define the pipeline before the form
List the stages a lead passes through, such as new, contacted, qualified, won, and lost. List the fields you need, such as name, email, phone, service interest, and source. Decide who is notified at each stage.
A form that collects fields nobody uses creates friction and no value. Ask only for what the next step needs.
Choose one of two connection routes
The no-code route uses your CRM's own form integration, or a connector such as Zapier or Make, to push each submission into a contact and a deal. It suits most small teams and is quick to change.
The custom route has the form post to a small serverless function. The function validates the input, checks for duplicates, and writes to the CRM through its API. It takes more effort, but you keep control of the data if the CRM changes later.
Protect the form and capture consent
Add a honeypot field or a CAPTCHA to block spam, and limit how often one address can submit. Store a consent checkbox with each record, and capture the UTM parameters and referring page so you can see which campaigns produce real enquiries.
Check consent requirements with a lawyer for your markets. The point here is that the answer is stored with the record, not left implied.
Automate the first follow-up
On submission, create a task for the owner, send an internal notification, and start a short welcome message. The first response is usually the highest-value step, because it is the one that gets skipped when someone is busy.
Plan for failure
Log every submission. Retry failed API calls. Send an alert when something breaks. Lost leads from silent failures are the most common integration problem, and they are invisible until someone notices a gap in the pipeline.
Test it end to end
Submit test enquiries from desktop and mobile. Confirm the contact, the deal, the task, and the notification all appear, then check the attribution fields. Repeat the test after any change to the form.
