Choosing a CRM for a small team: what actually matters

The best CRM is the one your team will update every day. Compare by how it fits your pipeline, your integrations and your support needs, not by the longest feature list.

Choosing a CRM for a small team: what actually matters

Start from your pipeline, not the vendor

Write your stages and your required fields first. A CRM that fits that pipeline with minimal customisation will serve you better than one with more features you will never configure.

Check the integrations you already need

Your website forms, email, calendar and invoicing tools matter more than the CRM brand. Check whether each integration is native, built on a connector, or needs custom work, because custom work is where costs and maintenance appear.

Understand the total cost, not the list price

Consider the seats you will actually need, the add-ons for automation or reporting, and the time to set it up correctly. Vendor pricing changes often, so confirm current prices on each vendor's pricing page before you decide.

Pick for the team that will use it

If the people who update the CRM find it slow, the data will be wrong within a month. Run a short trial with the real team, using real enquiries, before you commit.

How to connect your website form to a CRM without losing leads

A lead form is only useful if the enquiry lands in the right place, with an owner, within minutes. Here is the setup we would use for a small team.

Speed to lead: why the first reply matters more than the form

A lead that gets a human reply within minutes is far more likely to become a conversation. The form matters less than what happens in the first hour after it is submitted.
